Job Title: Production & Distribution Coordinator

Type: PAYE Fixed Term contract (November 2019 - June 2020)

Reports to: Marketing Manager

Hours: Full time (37.5 hours) per week (Generally Mon – Fri)

Salary: £17,700 per annum, pro rata

Holiday: Up to 28 days per annum, including public holidays, pro rata

Brighton Fringe Ltd seeks a highly motivated, dynamic and organised individual for the position of Production & Distribution Coordinator for Brighton Fringe, England’s largest arts festival and one of the largest fringe festivals in the world.

Reporting to the Marketing Manager, the Production & Distribution Coordinator will manage the production, scheduling and delivery of all print product and commercial project materials. The post holder will have proven experience in an arts environment, delivering effective, well organised and strategic campaigns on time and within limited budgets, with excellent attention to detail in written and visual work.

Key Duties & Responsibilities

Print Production

  • To manage the production, scheduling, proofing and delivery of all print stock including the brochure, family guide, leaflets and any other tools needed.
  • Manage the proofing schedule and procedures.
  • Liaise with all advertisers to deliver artwork on time and to the correct specifications.
  • To manage the scheduling and delivery of all large format print including floor/wall vinyls, banners, brochure bins, brochure holders and any other tools needed.

Lamppost Banners

  • Work with the council and local event partners to build a street plan of all available locations.
  • Manage the lamppost sales and act as contact point for all artwork.
  • Work with the Marketing Coordinator to deliver all artwork on time and supplied within the Brighton Fringe template.
  • Manage the production, delivery and take down of all banners with the distribution team.
  • Maintain records and routine checks of sites to fix or replace damaged banners.
  • Produce clear terms and conditions of purchase and distribute to all customers.

Poster Boards

  • Manage the poster board sales, scheduling and act as collection point for all stock.
  • Manage the build of the poster frames with the Events Manager.
  • Maintain the frames, posters and area around the boards daily with volunteers.
  • Produce clear terms and conditions of purchase and distribute to all customers.


  • Assist the distribution team to ensure key locations are always stocked.


  • Ensure all marketing stock being produced by us, or for us, meets our brand requirements and standards.
  • Ensure your tone is always on brand when communicating with the general public and partners.
  • Day-to-day management of all production partners and distribution teams to deliver product on time and within budget.
  • Work with the Marketing team to ensure the best routes and locations are utilised to help develop and deliver our strategic plans.
  • Maintaining stock levels of all produced materials including regular stock takes.
  • Keep an updated schedule available to all staff outlining deadlines, requirements and responsibilities.
  • Liaise with all Brighton Fringe departments to ensure all content is delivered on time and is accurate.

Other Duties

  • Manage distribution and street team interns and volunteers when required.
  • Contribute to the collation and preparation of statistical information relating to distribution and production activity for the CEO and the Board and any other essential requirements of stakeholders, sponsors or business partners.
  • Undertake any other duties in line with the responsibilities of the post as requested by your line manager, CEO or Board.
  • Attend training when required and endeavour to use newly acquired knowledge at work.
  • Set up and/or improve systems for planning and evaluating work.
  • Attend meetings with staff and Board when necessary.
  • Be available for the duration of Brighton Fringe throughout all of May.
  • Awareness at all times of the organisation’s policies and procedures such as the equalities policy and ensure this underpins all other practices, policies and procedures.

Person Specification


  • Excellent proofing skills.
  • Excellent attention to detail.
  • Excellent communication skills.
  • Excellent organisational and administration skills, including ICT skills.
  • Ability to work accurately under pressure and to meet deadlines.
  • Knowledge of Adobe Creative Suite (Photoshop, InDesign & Illustrator).
  • Ability to manage volunteers and set targets to achieve desired outcomes on time and within budget.
  • Availability to travel and to work flexible hours when required.
  • Ability to work independently or as part of a team when required.
  • Experience of working within very small teams or organisations.
  • Professional experience of the festival or general arts sector.


  • Full and clean drivers licence (must be aged 25 or over to drive hire cars).
  • Knowledge of Brighton & Hove arts sector.
  • Experience of working for a not-for-profit organisation.
  • Experience of working with volunteers.
