Executive Assistant - Maternity Cover (Part time)

This is a fixed term contract for up to 12 months to cover maternity leave. This role will end upon the return of the post holder.

Flexxable Ltd are looking for a methodical and motivated individual to provide maternity cover in the role of Executive Assistant. This is a part time role of 25 hours per week, worked across 5 days (Monday - Friday).

We are an established, vibrant Digital Marketing Agency based in Hove, East Sussex. We are a small and friendly team of 8, priding ourselves on our ingenuity, creativity, and camaraderie.

In 2018 we launched an in house education programme, Flexxable, teaching other marketing agencies how to grow an agency. We now have over 700 students, and are continuously improving the program in a bid to be the world’s leading Pay Per Lead Training program. 

Please note; the team are currently working remotely so initially the role will begin from home. The role may move to office based during the course of the contract.

As the role will involve working from home, a reliable internet connection is essential.

As the Executive Assistant to the company Director your duties will include (but not be limited to):

  • Monitoring the Director’s email inbox.

  • Providing a high quality timely service to customer and partner enquiries by phone, email & other online platforms.

  • Organising the Director’s diary.

  • Help improve the Director’s productivity by setting tasks and ensuring deadlines are met.

  • Organising meetings, often across multiple time zones.

  • Organising travel arrangements.

  • Paying bills, reconciling and paying invoices, whilst communicating with the Finance Manager.

  • Ensuring costs are kept in line with expectations, monitoring subscription renewals etc.

  • Contacting customers regarding missed payments and payment plans.

  • Managing staff deadlines, and making sure they are doing what is asked of them.

  • Various HR duties, such as preparing contracts and helping with hiring as required.

  • Tracking and understanding company sales.

  • Updating company policies and ensuring compliance.

  • Keeping detailed and accurate records of business activities and customer purchases.

  • Managing events in the Director’s personal life, including trips, bookings, household administration etc.

  • Having a general understanding of all business activities and helping ensure everything run smoothly, supporting the team where necessary.

 

Applicants will ideally have at least 3+ years experience in a similar role, with the following skills and experience:

  • Experience of providing high quality personal assistant or executive assistant support in a fast-paced and proactive environment.

  • Ability to work with a minimum of supervision, set targets, determine priorities and deal with conflicting demands.

  • Proficient in Microsoft Word, Excel, PowerPoint and Outlook.

  • Experience using Google Drive.

  • Excellent written and verbal communication skills.

  • Excellent eye for detail.

  • Excellent problem solving ability.
