IMEX Group - What We Do
IMEX Group delivers two vibrant trade shows each year for the global meeting and events industry. IMEX in Frankfurt and IMEX America (Las Vegas) each attract around 15,000 participants.
Our shows facilitate face-to-face business meetings between exhibitors (who include international hotel chains, convention bureaux, destination management companies and tech providers) and meeting and event planners.
Every show also features professional, free education and numerous networking and co-located events run by our global partner network. This means our IMEX shows have become must-attend events for anyone working in the meeting and events industry.

Job Description:

Based within the Marcomms team of 10 the core elements of the role will be:

Supporting the Senior Advocacy & Industry Relations Manager to effectively manage the administration of all new and existing partnerships for both shows, external industry event sponsorships and the logistical organisation of the IMEX Policy Forum at IMEX in Frankfurt.

Supporting the Associate Director of Marketing to effectively manage the administration of all media partnerships for both shows and other relevant marketing activities.

Support the wider marketing team in important areas of research, data analysis and customer service.

 

Key Areas of Responsibility:

 

Partnerships –
Administration - maintaining Smartsheet partnership grid & maintaining partnership filing systems, including storing contracts in secure folders, based on company protocol.
Liaising with partners on their participation at IMEX exhibitions; issuing and processing all returned contracts in CRM (Microsoft Dynamics) and other systems as required.
Responsible for ensuring that CRM data is correct and liaising with internal departments on all elements of partnership fulfilment.

 

Media Partnerships –

Admin - maintaining Smartsheet/ online systems & saving final media partnership contracts based on company protocol.

Assist team in providing media partners with collateral, e.g. logos and banners, etc

Responsible for ensuring that media partners are fulfilling their obligations to IMEX.

 

Industry Event Sponsorships -
Working with the organisers of various (global) industry events at which IMEX has a presence throughout the year.
Organising the specific sponsorship elements e.g. sponsored lunches, drinks receptions, stands, etc. Working closely with the key contacts within the organisation to ensure we are maximising our sponsorships.
Admin – preparing POs, updating budgets and processing invoices, updating CRM, Smartsheets and various working documents.
Supporting the Content Marketing Manager in creating and delivering sponsorship collateral for partner contacts and events.
Contributing creative ideas as a part of the core internal sponsorship team to ensure IMEX continually maximises its presence at global events.
Preparing internal team onsite documents and briefing the team attending.
Liaising closely with the Senior Advocacy & Industry Relations Manager, Content Marketing Manager and the CEO in delivery of sponsorships.

 

Policy Forum Event co-ordination (IMEX in Frankfurt)
Logistics – liaising with all onsite suppliers including but not limited to the Hotel/ venue, audio visual, Furniture suppliers, chauffeur companies, Dinner Venue, etc
Registration – working with the Event Tech team on registration form/process. Processing and confirming all VIP registrations. Sending final event information prior to the event and liaising with all key contacts providing professional support for VIP attendees.
Meeting showcase tour – coordinating the tour, including liaising with featured exhibitors and VIPs.
Admin – completing function sheets, onsite running schedules, processing invoices, preparing PO’s and updating budget.

 

Partnership data and other data insights projects

Leveraging partnership data to increase the IMEX audience.
Preparing lead generation reports from our websites for marketing, hosted buyer and other departments.
Preparing post show survey reports and feedback from IMEX attendees.

 

Customer relations and ad hoc marketing support

 Monitoring and responding to the IMEX general enquiries inbox
 Answering visitor buyer and other phone enquiries (closer to the show)
IMEX Exhibitions buyer approvals and some new attendee support such as outbound calls.

 

 

 

 
Skills Range:

 A minimum of 3 years event organisation experience
 Experience of partnership marketing and sponsorship activation preferred
 Highly organised
 Proven administrative skills
 Flexible and mature approach
 Keen attention to detail
 Be able to multi-task and use own initiative
 Excellent verbal and written communication skills including liaising with international VIPs
