Job Description:

We’re looking for a conscientious, experienced Office Manager to provide excellent support to all Madgex employees (including prospective employees), ensuring that the office products, services, and the environment are maintained to the highest standards at all times. The role also supports the HR team with administrative support as required.

Madgex are experts in career technology & the monetization of online audiences. Our core product is a highly sophisticated, enterprise level job board platform which helps unlock the value of clients’ professional audiences. Working with over 500 brands including the Washington Post, The Guardian, Gumtree and Haymarket, we have fantastic technology used by clients in 10 languages and 14 countries. Skills Range:

Previous experience and capability in the following areas:

Responsible for office maintenance, repairs, recycling and cleaning contracts. Ensure office is clean and presentable at all times
Responsible for managing global Company insurance (inc. professional indemnity, travel, Company, keyman)
Main point of contact for managing the landlord relationship and contract/building lease
Purchase and monitor office and kitchen supplies
Purchase and monitor stationery supplies
Ensure costs are within office management budget (including but not limited to social, entertainment, facilities)
Organising team and Company events (socials, away days, Christmas parties, Company meetings, staff birthdays)
Arranging company travel as directed
Ensuring external visitors are catered for as directed
Day-to-day aspects of office management such as answering the phone, dealing with couriers, filing, overseeing meeting room bookings and set-ups (including making sure each meeting room is tidy, presentable and well equipped), organising catering for client meetings, replenish company refreshments.
International Health & Safety:
Health & Safety compliance to ensure we are H&S compliant with current legislation, including carrying out risk assessments desk assessment and company communications. Liaison for international offices in helping them to administer the same.
Supporting HR Administration
Assist with the recruitment and onboarding processes including scheduling interviews and induction meetings and conducting an Office Management intduction for new starters
Partnering with the HR team in making all Madgex offices a great place to work.
A key contributor to the Health and Happiness (‘HaHa’) team
Keep seating plan up to date 

 
Person Specification:

Approachable, good communicator, proactive, solutions focussed.  This person will be self motivated in managing their workload, pro active in their approach whilst responsive to tasks as directed.

As a key team member of the 'HaHa' health and happiness team, they will be creative and innovative in their approach to suggesting new ideas and helping to bring these to fruition.

Someone looking to further enhance and develop the office management processes and general office environment.
